GST Billing
Software Guide
What your counter actually needs, what to ask any vendor, and how to switch without losing a day of billing.
01 — The Basics
What GST Billing Software Must Do
GST did not change how you sell. It changed what you must record while you sell. Any tool worth paying for handles all of this without a second spreadsheet on the side.
- Print a tax invoice with your GSTIN, HSN codes and the correct CGST/SGST/IGST split for in-state and inter-state sales.
- Issue quotations, receipts, purchase entries and credit notes without retyping the same item twice.
- Keep item-wise stock, including batch or serial/IMEI numbers if you sell electronics, appliances or medicines.
- Maintain customer and supplier ledgers your accountant can open without calling you for every figure.
- Produce tax reports summarised by rate and by HSN, not a raw export you still have to pivot.
- Restrict what counter staff can see: discounting, deletions and cash adjustments are owner-level actions.
- Update when GST rates or invoice formats change, at no charge, without you installing anything.
02 — The Warning Signs
Five Signs You Have Outgrown Paper and Excel
Most shops do not decide to buy software. They reach a morning where the old way stops working.
- You cannot answer "how much stock is left" without counting. Sales and purchases live in different books.
- The same customer appears twice, with two balances, two credit limits and one annoyed supplier call.
- GST filing week means late nights rebuilding tax summaries from invoice piles.
- One person is the system. When they are on leave, nobody knows the price you quoted last month.
- Discounts and returns are untraceable. Cash mismatches appear and nobody can prove where.
03 — The Checklist
Ten Questions to Ask Before You Sign
Ask these on the first call, not after the demo. A vendor who hesitates on any of them is telling you something.
- Can I export all my data - items, customers, suppliers, invoices - if I leave?
- Can the invoice print in the format my customers and auditors expect?
- When GST rates change, is the update free and automatic?
- Does it drive thermal printers and barcode scanners out of the box?
- Can the owner and counter staff have separate roles and permissions?
- For multi-outlet: is stock one live picture, or a copy per shop that someone must sync?
- What happens when the internet drops in the middle of billing?
- Who migrates my item master and opening stock, and what does it cost?
- What exactly is included in support for the first year?
- Is pricing per counter, per outlet, per user, or per device - and what counts as a device?
04 — The Decision
Readymade vs Custom-Built
Neither is smarter. They suit different shops, and the honest answer usually fits in one sentence.
Custom fits when
- You run several outlets and need one live stock picture.
- Your trade has its own logic - textile lots, pharmacy batches, serial/IMEI tracking, dealer credit.
- The billing screen must talk to your own app, website or CRM.
- Your process is the advantage you sell on.

05 — The Money
Benchmark Costs in India
Here are billtime's own published rates, so you have a real yardstick when a quote lands in your inbox. GST billing software specifically is priced by outlets and customisation - ask for a written demo quote.
| Engagement | Published rate |
|---|
| Starter plan - website + basic SEO | ₹4,999 / month |
| Growth plan - full-stack app, hosting, AI chatbot, payments | ₹12,999 / month |
| Custom web application project | ₹50,000 - ₹5,00,000 |
| Enterprise, dedicated team | from ₹25,000 / month |
| Maintenance after launch | from ₹2,999 / month |
A quote far below the project band usually means templates and change orders later. A quote far above it needs a written scope explaining why.
06 — The Switch
How to Change Tools Without Stopping Billing
The fear is never the software. It is a Saturday with a queue at the counter and no prices on screen.
- Export and clean. Item master, prices, GSTIN-wise rates, customers and suppliers - in that order.
- Count your opening stock honestly, outlet by outlet. Garbage opening stock ruins every report after it.
- Run both for three days. Bill in the new tool, keep the old one as a fallback, compare totals each evening.
- Train the counters, not the owner. Two hours in Tamil or English, on real items, beats any manual.
- Cut over at a week boundary and keep the old data readable for reference. Never mid-month during GST filing.
07 — The Bottom Line
Right Tool, Right Counter
Buy for the shop you run today and the outlets you will run in two years - not for the feature list that impressed you on a call.
If your need is clean GST billing at a counter with stock, reports and printers, start with a readymade product and see it working on your own items. If your trade has logic no package understands, scope a custom build instead - and make sure you see a prototype before you pay for a build.
